Best Practice:
Each week it's a good idea to search for families using Family Explorer or Classic View for New Register families. There is no mechanism for parishes to be notified of families who have been added to your church nor moved to another church.
When you add a family, pull a family over to your parish, or use the on line link for families to register themselves, you should go into ChMS and review and update their status.
Options to find and review this information:
Family Explorer Search
Filter the Church ID column by your Church ID, and Filter the Status column by "new"
Classic View Search
Click Search from below the blue menu, choose New Register in the Status Field and Current parish.
Help deciding on which status to select:
The Family Status with Registration Status report (found in the Report Library under Families) will help determine correct Family Status to match to Registration Status.
- To find the group of families in ChMS to correct their Family Status and/or their Registered Status (Church status).
- In Family Explorer,
- Filter the Status Column for the status, and Filter the “Is Registered” column for the Registered status.
- Select the family from the list. It will open in a new tab. Make the necessary corrections to status or registration.
- Go back to the first Tab showing the “Families” dashboard with your search and choose the next family to correct.
- Do this for each status/registered Status that needs to be corrected.
Note:
- Family Status is set by each Parish and denotes the relationship with that specific Parish.
- Member Status is determined by the Parish of Registration (the blue button in the Churches tab), unless not registered anywhere. Member Status is based on the member’s involvement with their registered church.
- Registered Status is set to the Active Church (in the Churches Tab, the Blue button). If not Active/Registered in any church, then they should be Unregistered.
This guide explains the differences in family and member statuses and registration. A family should not be Inactive and Registered. Registered families should ideally have Active family status.
